Vendor choreography

Load-in happens by zones: staging, floral, lighting, kitchen. Each vendor receives parking instructions, power specs and a check-in contact. We stagger arrivals so the driveway never jams, and we keep backup generators fueled.

Guest experience

Shuttle manifests live in Airtable with QR codes for quick scanning. We brief hosts on who arrives when, allergies, VIP greetings and seating charts. Every touchpoint is rehearsed at least once with the key team.

Evening wrap

Post-event, crews record resets—linen counts, bar stock, rental pickups—and we run a 30-minute debrief before anyone sleeps. That review shapes the next day so momentum never slips.
